• College graduate of any 4-year course, preferably business.
• At least 1 year administrative support experience working with senior level executives within and outside the company, customers and visitors.
Responsibilities:
• Receives, screens and handles telephone calls, incoming mail, publications and other correspondence, some of which may be of a confidential or sensitive nature. • Arranges complex corporate travel and processes subsequent expense reports. • Monitors vacations, schedules and calendars. • Provides administrative support to the Managing Director and Team Leads. • Requires thorough knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature. • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. • Prepares presentation materials for board of director meetings. • Makes high-level contacts of a sensitive nature inside and outside the company. • Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. • Prepare PowerPoint presentations to support the business • Produce various reports as required. • Extensive calendaring, meeting scheduling, off-site meeting planning, travel arrangements, and other core administrative tasks. • Collecting and preparing information for use in discussions/meetings of executive staff and outside individuals. • Preparing and processing expense reports. • Outlining drafts and finalizing correspondence. • Assisting executive with highly confidential and critical human resource information including performance reviews and compensation data. • Office management - will heavily assist with office build out and organization of large office, as well as office processes. • Organize meeting agenda's and book conference rooms when necessary. • Sort incoming mail and deliver packages Knowledge and Skills Required: • Excellent computer skills - Microsoft Word, PowerPoint, Excel. • Strong time management skills. • Meticulous attention to detail, accuracy, confidentiality and follow-through. • Exceptional communication, analytical, problem solving, organizational and interpersonal skills. • Service-centric attitude with a proven ability to anticipate needs and handle each situation with diplomacy and discretion. • Must be capable of working with a team, as well as with a great deal of autonom • Possess a flexible, enthusiastic and proactive demeanor with a hands-on, detail-oriented work ethic • Interest in technology and early to mid adapter • Being proactive is critical. (They must be driven and constantly looking for ways to improve processes around the office and additional ways to better assist their executives) | |
